About the Project

UPAMA – Uttkrisht Parivar Niyojan Adhikar Sanrakshan aevum Matritwa Swasthya Abhiyan is a UNFPA-supported project, operational since June 2023. The project is being implemented across selected priority geographies, including Patna Urban, Sheikhpura, Khagaria and Katihar, with a focus on strengthening systems and institutions to improve the quality and accessibility of family planning, adolescent health and maternal health services, while addressing gender-based violence and related harmful practices. The project works in close collaboration with relevant government departments and stakeholders to strengthen capacities, promote evidence-based interventions, and support sustainable improvements in health and gender outcomes.

The Role

This position of Logistics & Administrative Support Consultant will be providing day-to-day administrative, logistical and coordination support for effective implementation of activities under the Patna Municipal Corporation component of UPAMA project. The consultant will work closely with the programme team, PMC and relevant stakeholders to facilitate timely arrangements, documentation and follow-up of programme activities.

Key Responsibilities:

  • Support planning and coordination of PMC component trainings, meetings, workshops, exposure visits and other programme activities, including venue, participant, travel and logistical arrangements.
  • Maintain systematic documentation of programme activities, including attendance, proceedings, logistics records, correspondence and other supporting documents.
  • Provide operational support for procurement, payments, travel, event-related requirements and other administrative processes in accordance with PCI’s policies.
  • Support the programme team in maintaining activity trackers, follow-up actions and timely submission of required administrative and programme documentation.

Key Deliverables

Month-1 (October)

  • Timely logistical and administrative support for planned PMC programme activities and stakeholder engagements.
  • Comprehensive records of meetings, workshops, travel and other programme-related activities and coordination with PCI logistics and procurement team as per need.
  • Updated activity and administrative trackers, including follow-up of pending actions and logistical requirements.
  • Monthly consolidated support reports highlighting activities facilitated, key administrative/logistical issues and actions taken.

 Month-2 (November)

  • Timely logistical and administrative support for planned PMC programme activities and stakeholder engagements.
  • Comprehensive records of meetings, workshops, travel and other programme-related activities and coordination with PCI logistics and procurement team as per need.
  • Updated activity and administrative trackers, including follow-up of pending actions and logistical requirements.
  • Monthly consolidated support reports highlighting activities facilitated, key administrative/logistical issues and actions taken.

Month-3 (December)

  • Timely logistical and administrative support for planned PMC programme activities and stakeholder engagements.
  • Comprehensive records of meetings, workshops, travel and other programme-related activities and coordination with PCI logistics and procurement team as per need.
  • Updated activity and administrative trackers, including follow-up of pending actions and logistical requirements.
  • Monthly consolidated support reports highlighting activities facilitated, key administrative/logistical issues and actions taken.

Recruitment Process
