Qualification Required: Post Graduate.

Experience Required:

  • A minimum of 3-5 years of work experience in procurement
  • Experience in strategic documentation for the organizational,
  • Experience of working in a development sector will be an added advantage.

Skill and Competencies:

  • Computer literate with excellent knowledge of Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) – Highly desirable
  • Good analytical skills and eye for detail.
  • Highly professional with sense of accountability problem solving attitude and quick learner.
  • Strong quantitative and qualitative research skills.
  • Sound financial literacy (particularly understanding of budgeting and financial reporting processes)
  • Excellent written and verbal skills with the ability to create compelling ‘case for support’ documents.
  • Excellent interpersonal skills and proven ability to work as an effective team-player and team leader.
  • Ability to manage time and multiple work streams in an organised manner, ensuring that key deliverables are met on time.

About the Role (Including Team and Reporting):

The key role of Operations Officer will be Specific responsibilities for this position will include:

Responsibilities 

  • Responsible to complete the procurement cycle (procurement cycle is the series of actions required to obtain goods or services from an outside source) under the guidance of supervisor.
  • Managing the portal to send the RFQs and RFPs. Frequently checking the portal and floating the new requests ASAP in consultation with supervisor.
  • Managing a good relationship with all verticals and cluster offices and providing them procurement related guidance and support. Acting as a master trainer for procurement policy
  • Responsible for the preparation of draft contracts and agreements which would also involve the generation of contract number from our application (to generate contract and to manage contracts issued) related to procurement and upon signature from the supervisors sharing the same with vendors for their acceptance.
  • Managing the vendor database for various supplies and services. Coordination with vendors for the vendor registration and other details and to get the signed contracts and POs for records.
  • Doing the requisitions for all purchase requirements for the procurement vertical. Issuing GRN/SRN for procurement related purchase requirement.
  • Sharing a monthly PO tracker with all locations to close their outstanding POs. Sharing the same tracker to all Delhi staffs and other offices where the POs were provided from Delhi office.
  • Managing the frequent request of No Cost Extensions received from requestor to extend the contract timeline. Ensuring the required approvals are obtained beforehand and sharing the no cost extension with the vendor and requestor and getting the signed copy in the record.
  • Responsible for the renewal of ongoing services contracts for services (Security, Housekeeping, Stationary etc.) and Rate card Contracts for the office items required for the daily office functions.

Recruitment Process:

  3. Group Discussions may be part of the interview process for certain positions.
  4. The process could also include presentation of the assignment.
  5. Shortlisted candidates will be invited to attend one or more rounds of panel interview/s.
